The primary role for this individual will be the responsibility for providing a full Procurement Management service to the UKIME region.

The role will encompass both disciplines of Vendor Management and Procurement Management for the UKIME region. This will include all the day-to-day tasks relating to the goods and services procured by the Firm.

This is a relatively new function for UKIME, and this role will include assisting in the set up and the on-going development and growth of the function as it becomes embedded and continues to evolve in the firm.

The primary function is to ensure all our vendors are fully compliant on a continual rolling basis, with all the relevant legislation for UKIME, from GDPR, Data Privacy, NDA's, Code of Conduct, Anti-Bribery & Corruption, Modern Slavery Act rules and other UKIME based legislation, IT Security requirements, ESG and other Corporate policies, procedures and rules in operation as appropriate.

This role will include rolling out vendor management on-boarding, off-boarding and maintenance processes to include in particular all risk and regulatory compliance issues, and more generally vendor and contract management (including spend analytics) for the UKIME region.

    Procurement and Vendor Management

  • Ensure all our vendors are fully compliant on a continual rolling basis with all relevant legislation for UKIME to mitigate contractual risks.
  • Implement the procurement policy and processes in line with best practice, ensuring accurate and auditable records are obtained and kept secure.
  • Assist key stakeholders with managing their relationships with suppliers, assisting them to monitor contractual performance and ensure that opportunities for continual improvement are explored and implemented.
  • To oversee and take the lead on high value, high risk, strategic contracts including supplier engagement, tendering, negotiation, commercial discussions and cost modelling.
  • Collaborate with senior managers to identify commercial risks and drive supplier performance to maximise commercial exposure.
  • Championthe firm's ESG ambitions, including carbon reduction / net-zero through embedding sustainable procurement principles into the supply chain via supplier assessments, sustainable sourcing initiatives and contract management, including compliance with modern slavery, D&I etc.
  • Drive the change (training staff, holding presentations on new ways of working etc) and raise the profile of the procurement function internally, evolving the policies and templates and embedding best practice across the firm on all procurement functions.
  • Ensure all contracts are reviewed prior to the end of their contract to move to either terminating or renewing the contract to ensure no additional costs are incurred.
  • Ensuring that contract terms and conditions, performance in terms of cost, quality, delivery, and technology alignment are in line with company standards.
  • For all other procurements outside of tender, ensure Request for Information (RFI) / Procurement Assessment is completed after discussing the nature of the procurement with the relevant department.
  • Oversee that all vendor details are accurately entered onto the OneTrust database.
  • General :

  • Implement procurement ideas and solutions to meet business needs and achieve cost savings.
  • Contribute to continuous improvement initiatives in procurement activities.
  • Providing regular reports on procurement activities and quality checks on adherence to the region / the firms required standards.
  • Set out SLAs to ensure that business stakeholders meet time expectations.
  • Managing any short falls towards 100% compliance.
  • Define and communicate governance and compliance priorities, including service level expectations, to the leadership team.
  • Management of Procurement Officer.
  • Requirements

  • Degree education in a related area or be a Member of the Chartered Institute of Procurement and Supply (MCIPS) or Commercial and Contract Management (CMM) or World Commerce and Contracting (WCC) or equivalent preferable.
  • Professional procurement experience in a multinational environment.
  • Implemented procurement into a multinational environment.
  • Knowledge of SRA principles preferable.
  • Knowledge of sustainable procurement, and experience of incorporating Environmental, Social and Governance (ESG) preferable.
  • Knowledge of the following ISO's preferable : - ISO20400 (Sustainable Procurement) ISO9001 (Data Protection) ISO27001 (Information Security) ISO9001 (Purchasing and Supplier Approval policy)
  • Professional procurement experience in a multinational environment.
  • Implemented procurement into a multinational environment.
  • Experience of managing relationships with key stakeholders and ability to challenge a senior stakeholder base.
  • Proven ability in running complex purchasing and procurement activity throughout the entire procurement lifecycle RFIs, vendor engagement, maintenance and termination etc.
  • Good knowledge of Word, Excel and PowerPoint
  • Knowledge and expertise of cross-border regulations, such as GDPR and EU data Privacy rules.
  • Understanding of the compliance, legal and ethical obligations that organisations should have with respect to contract and supplier management and personally identifiable information and data protection
  • Fluent in written and spoken English (C1 level.)
  • Excellent written and oral communication skills

  • Strong analytical skills with attention to detail - ability to dig into details as well as analyse data from a high level view
