Currently we are looking for a Associate Mobility Specialist for our team.
The person in this role is supposed to ensure effective administration of the mobility processes and will be responsible for initial contact with the transferees and cooperation with external institutions, mobility team members and internal stakeholders.
Maintenance of paper documentation and correspondence with the immigration office
Obtainment of necessary duplicates and notarial copies
Taking care of the proper circulation of documents in the department and their distribution to appropriate team members and transferees
Mobility trackers and systems administration and their improvement
Support of mobility processes by initiating appropriate requests in the systems used and tracking their statuses
Ensure correctness of data, supplementing them and changing them in a timely manner
Proper storage of electronic documentation and data used in mobility processes in the company's internal systems and servers
Supportive role in the processes conducted by the regular and senior mobility specialists by initial contact with the transferees and obtaining the necessary documentation
Initiating the process of obtaining immigration documents, such as a work permit or visa, preparing supporting documents in these processes
Performing tasks in a timely manner, reporting bugs and issues in the process, supervision over the correctness of the data and documentation obtained, updating them, improving existing processes
Contact and cooperation with transferees, other departments in the company, external institutions, transferring requested information, creating reports and statistics
6 months 1 year of work experience, preferably in Immigration, Legal, HR, travel or customer service
Ability to follow established processes
Ability to multiple tasks, meet deadlines, and complete last minute requests
Ability to negotiate and problem solve effectively
Proven ability to learn quickly
Excellent planning and organizational skills
Excellent communication skills
Resilience and willingness to work in a deadline-driven, flexible schedule environment
Proven proactiveness to handling assignments and streamlining workflow
Strong customer focus and ability to use in practice service excellence principles
Knowledge of commonly used office and collaboration tools (Office, SharePoint, Google Drive, Skype)
Advanced English (B1 or B2)
Completed University degree
