The Office Operations Senior Specialist is a trusted advisor who believes in the deep understanding of the customer, coupled with great standards of service.

You will be the go to person for event and facility-related needs with the ability to keep things running smoothly today while thinking ahead and ensuring your customer is ready for the events landscape of tomorrow.

You will be responsible for delivering flagship office meetings & events in accordance with goals and objectives set by your stakeholders.

You will bring strategic thought partnership, operational expertise, and day-of management experience for high value / high visibility events across all meeting formats (in-person, virtual, hybrid).

The Office Operations Senior Specialist is the customers’ critical connection to a broad range of event support services in BCG Warsaw.

The Office Operations Senior Specialist will act as the event architect by bringing together a range of experiences and ideas for discussion and subsequent action.

You will be responsible for maintaining and growing the customer relationship, developing a deep understanding of how that customers events support their business.

You will bring a range of ideas from your own and others event experiences and will provide targeted recommendations that are risk appropriate, consistent with BCG’s image and brand and reflect the best of BCG today and into the future.

This role will be directly responsible for managing the following areas :

  • event delivery strategy including format, cadence, dates, city / site selection, venues, suppliers, and technology platforms based on meeting goals, attendee profile, and budget.
  • assembling and managing event-specific teams to successfully execute design, logistics (including meeting space management, F&B, evening events, etc.
  • technology, production, communication, security.

  • you will be working closely with our Procurement experts for selecting suppliers and managing the delivery of outsourced elements
  • constant close collaboration with the Reception Team and managing topics related with their services for internal and external Client
  • working closely with our office & occupancy related vendors to ensure the highest level of service for internal client
  • ensuring highest standards with office cleaning services
  • collaboration with IT department on office-related projects (i.e. implementing booking tool, visitors tracking tool, office accesses, etc.)

  • Bachelor's Degree or equivalent in Business, Communication, Hospitality / Events or related field and 4+ years related experience in event management (preferably in a corporate environment)
  • Demonstrated expertise in building strong service delivery teams
  • Technical understanding of digital meeting tools and platforms
  • Strong organizational skills and ability to multi-task and manage competing priorities
  • Previous experience working in a global service driven organization with both in-person and virtual teams Advanced Microsoft Office skills (including PowerPoint, Excel, and Word)
  • Exceptional verbal and written communication skills both in Polish and English

    Our business management and operations team members work to ensure that BCG is running smoothly, efficiently, and productively.

    We are made up of executive and administrative (or case team) assistants, visual service artists, receptionists, facilities staff, and the team leaders and office coordinators who manage these operations and business management jobs.
