Summary of Responsibilities :
Reporting to the Sales and Marketing Director, responsibilities and essential job functions include but are not limited to the following :
Administrative support to the Sales Team and the Sales & Marketing Director
Data input of all sales group transactions and activities in the system
Co-ordinate documentation or tasks associated with the sales department including regional sales team as assigned and as required by established and prospective clients including sites, client arrivals / departures, travel shows
Maintain excellent relationships with clients, suppliers, industry colleagues while exceeding Raffles Service Promises and Standards
Prepare sales agreements accurately
Coordinate site inspection rooms
Filing and sorting of correspondence, mail and faxes
Respond to sales leads, guest room night requests, function space and any enquiries from established and prospective clients
Month End duties as administrator
Public Relations administration support
Other duties as assigned by the Sales & Marketing Director and the Sales Team
Impeccable grooming and presentation
Demonstrated excellent organizational abilities, attention to detail and resourcefulness a must
A successfull experience in an administrative capacity or an experience requiring a high level of guest service involving sales interactions
Completely fluent English language skills and excellent communication skills; both written and verbal
Clear, precise, professional and helpful telephone manner
Demonstrated a high level of responsibility and commitment
Proven capable of remaining focused in a fast paced environment with minimal supervision
Demonstrated team player with proven success in relationship building
Sincere desire to work with the public and colleagues in a warm, welcoming and professional manner
Demonstrated commitment to provide excellent service and exceed guests' expectations
Proficient administrative abilities
Completely proficient in the system, Property Manager Outlook, Windows, Microsoft Excel, Microsoft Word, Publisher
Ability to compile and understand financial reporting
