Job Purpose :
To provide an efficient, professional and courteous front of house service connected with all visitors, vendors, employees and callers in line with the corporate guidelines.
Ensure the reception desk and Switchboard are manned at all times to ensure that visitors / callers are greeted promptly;
Welcome visitors in a professional manner, assist them to sign in / out , ensuring they are aware of the company evacuation procedure;
Provide assistance to vendors on arrival ensuring that access control and WiFi passes are issued where appropriate;
Work as part of the Switchboard team answering incoming calls and redirecting accurately within the company standard of 3 rings;
Provide assistance with booking service for meeting rooms;
Ensure that all staff are issued with proximity passes encoded appropriately. Maintain stocks of the equipment required to produce those passes;
Liaise with Security Officer at both start and end of shift notifying of any out of hours incidents and other ad-hoc requirements;
Accepts flexible work schedule necessary for uninterrupted service to visitors / callers;
Communicate effectively with visitors, callers and colleagues;
Ensure that stationery stocks and front of house consumables are maintained keeping orders to both a minimum cost and footprint;
Maintain stocks of headed paper and business cards as required via the work log process;
Demonstrate teamwork by co-operating and assisting colleagues as needed;
Report any suspicious behaviour of visitors and staff to the Facilities Manager;
Assist the Facilities Manager when requested;
Maintain own working area, to ensure it is clean, tidy and in good shape; report defective equipment via the work log process;
Continuously seek to endeavour professionalism in own job function;
Provide holiday / sickness cover in the absence of the Post Room Assistant in daily invoice processing and any postal duties.

Previous switchboard / reception experience;
Good level of education.
