Role Purpose
The role is part of a JLL team working closely with one of our most dynamic & fast-growing Clients from the online retail industry.
JLL partners with the Client to deliver a wide range of corporate real estate services.
We are seeking Senior Capital Program Coordinator based in Warsaw for our client-dedicated Program Management team. It is a hybrid role, combining elements of Project Management and Quality & Best Practice functions.
The person in this role will perform a wide range of supporting and organizational activities as the demand arises, aimed at ensuring timely and accurate delivery of most prestigious projects.
The ideal candidate for this position is highly organized, result oriented and proficient in internal project delivery methodology.
This role supports Capital Program Group to deliver high-risk, high-value projects in the Client’s Corporate Real Estate (CRE) portfolio across EMEA and to drive improvements on operational level to meet Account’s contractual obligations and continuously raise the bar for outstanding service delivery.
What this job involves
Support CPMs in coordination and timely execution of project documentation and reporting, also between client’s Procurement, Finance & Accounting, Legal departments and 3rd party vendors as required, to ensure compliance with the document control structure and client’s policies and processes.
Proactively flag if any risks are foreseen. Monitor risks closely and support relevant teams in resolving them (whether project or process related).
Support CPMs in compliant cost & finance management, driving timely PO issue, invoice payments to vendors and final account reconciliation.
Support with any other organisational & administrative tasks, particularly aimed at sustainable delivery during absence & travel of CPMs.
Demonstrate proactive focus on meeting client and project requirements in a timely and cost effective manner.Enhance & streamline knowledge sharing and collaboration between CPG and SSC departments / teams, develop structure to document and promote best practice.
Regularly contribute to or lead initiatives / projects to elevate CPG BAU towards operational excellence in line with Change Governance and EGREFO PM methodology.
Investigate opportunities to become POC in area(s) of expertise aligned with your Manager. Proactively lead or contribute to documentation and control of processes, data-driven analysis of trends and / or root causes to drive simplifications and improvements.
Use and promote technology platforms to monitor, coordinate and report on progress and support CPMs performance.
Ensure all participants and stakeholders in managed projects are managed to deliver to parameters agreed in project charter and in adherence to contractual obligations (KPIs, SLAs).
Ensure proper organization, supervision, financing, documentation and reporting (to internal and external Stakeholders) on managed projects, so they comply with Client’s and JLL’s policies and procedures.
As Client interface in managed projects, ensure Customer expectations are managed and met.Overall control over invoicing and cost management of managed projects.
Ensure all necessary internal and external project approvals / permits are sought and governance processes are followed for managed projects.
Ensure compliance with appropriate legislation and EHS guidelines in respect to managed projects.Ensure acceptance of the works in managed projects.
Proactively feedback QBP Team on opportunities to streamline internal program management processes and contribute to or lead initiatives for improvement.
