RINA Poland is seeking for a highly motivated Administrative and Back Office Specialist for Poland Marine Team. The position will be based in RINA office in Gdansk.
Please send your CV in English and consider that you must hold an EC residence permission. What your role will involve Your key responsibilities will include : Managing the incoming / outcoming phone call and correspondence.
Managing clients inquiry / survey requests by email / phone etc. Offering support to the head of the office to assign the work to surveyors.
Assisting head of the office in preparation of the offers. Opening of survey jobs / inspection jobs based on clients’ requests.
Issuing the invoices and informing the customers. Document / report filing. Collecting the client payments under supervision of the head of office.
Offering support to the office colleagues on travelling aspects (transportation / flight tickets / train tickets / hotel bookings).
Coordinating Office facilities / meetings / HSE including PPE / stationary / time sheet (TEAM / Activity Report) including overtime and holiday Collecting of prepared reports on surveyors’ expenses Correspondence with external consultants regarding issued invoices, taxes, vacation and sick leave days, payrolls of employees, payments to be processed and so on Other office works assigned by team leader / head of the office What we are looking for Previous Administrative or Back office experience within international working environment.
Fluency in Polish and English languages is a must. Experience in credit collection is an added value. Good computer skills and Microsoft applications.
Good planning and organizing skills and attention to details. Pro-active customer focused approach. Good communication skills.
Ability to work both independently and as team member. Willingness to learn and develop. Self-motivated and be able to work sometimes under pressure.
