Key responsibilities

You will ensure that adequate support is provided with the day-to-day administrative activities, including communicating with the stakeholders, assisting with planning the delivery if current and new projects, organising meetings, preparing agenda and minutes, updating content for presentations.

  • Administrative support :
  • Meetings and appointments organisation
  • Managing diaries and emails
  • Booking and arranging travel, transport and accommodation
  • Collating and filing expenses
  • Project management and co-ordination skills :
  • Preparing reports, presentations and correspondence
  • Prepare ad-hoc reports for management, as required
  • Provide project updates ad reports via Excel and any other tracking system as required
  • Liaise with various teams regarding arrangement for meetings
  • Participate in relevant internal working groups / projects, services and initiatives to provide information, advice and support.
  • Take formal minutes of meetings
  • Provide timely information and updates on arrangements to the team / collaborators
  • Work on own initiative on a day-to-day basis, autonomously, escalating any issues that may arise to the appropriate person
  • Key Requirements :

  • 5+ years minimum experience in a similar role
  • Excellent oral and written communication skills in English
  • Proficiency in MS Word, Excel, PowerPoint and Outlook
  • Organisational skills and the ability to multitask
  • You are comfortable working within an international commercial matrix
  • Able to deal with different cultural backgrounds
